When writing acknowledgement letters, keep in mind that you’re writing a formal letter. As such, after you customize this acknowledgment letter template, you should use Microsoft Word or another software to add your company’s letterhead to this letter. Your letterhead should display your company name clearly and professionally.

This acknowledgment letter example addresses a purchase order that needs fixing in order to be fulfilled. Feel free to change the subject and the wording of the letter as needed.

Start the body of the letter by confirming the details of the PO, job application, job offer, or agreement that you reached with the other side. Be as specific as possible and list out all details that relate to the document you’ve received, including the contact information of the people involved and any risks and responsibilities that come with receiving the document.

hereby acknowledges receipt of the Reference (a) purchase order (or “PO”). We are excited about the prospect of working with [Sender.Company] and delivering the products ordered, but cannot confirm acceptance of the order and its referenced terms and conditions without resolution of the below exceptions. Specifically, Seller expressly does not agree with the following terms and conditions contained in the PO and suggests the alternative language below.

Make sure to proofread your suggested alternative language for effectiveness and conciseness. It’s a good idea to keep your acknowledgement letter short and to the point so the receiver of this letter gets a clear idea of your intent. As such, if you want to include more suggestions, feel free to put them on an MS Word, Apple Pages, Excel, or Google Docs document and attach it to this acknowledgment of receipt.

We recommend settling the above items as soon as possible so as to not impact the “need date” [Sender.Company] has identified in the referenced purchase order. If our alternative language proposed above is acceptable, please sign in the space provided in this Acknowledgement Letter below indicating [Sender.Company] 's acceptance of the terms and conditions of purchase, as changed per this Acknowledgement Letter.

The following sentence is typical of a purchase order acknowledgment. However, it may have little legal weight in the event of a dispute over the contract terms. Depending on the laws governing the transaction, the courts may determine that by continuing performance under the purchase order, you have, by performance, accepted the terms contained in the purchase order. In such a case, you have created a “Battle of Forms” with your acknowledgment letter.

If we do not receive a response, we will assume that the above changes are agreed, and we will proceed with fulfillment of the order under these changed terms.
